The focus of the role will be management of the Medtronic Preferred Provider Program (MP3) and Matter Management. This role will work in conjunction with the MP3 Steering Committee and the continuous improvement and awareness of legal matter management standard processes; achieving adoption of the processes within the legal function; and demonstrating the impact of applying standard processes throughout the matter lifecycle.


The MP3 and Matter Management Program Manager will facilitate agreement across practice leads and support functions, including finance and IT, to a set of workflows and processes and ensure prioritization and alignment of all process improvement activities. They will maintain the organizations awareness, understanding, and compliance with the standard processes.


The Program Manager will lead various projects related to matter management processes.This position will require the skills of an individual capable of conducting process mapping, data collection and analysis, implementing improvements and controls and leveraging technology and knowledge management solutions,\. The candidate will be a motivated self-starter with both operations, legal financial and project management experience, and strong technical, organizational, and facilitation skills.


To be successful, the incumbent must work well in a matrix environment, be a respected team leader and team member, clearly communicate and deeply collaborate across the entire organization. This position reports to the Director of Legal Operations.


**A Day in the Life**

Responsibilities may include the following and other duties may be assigned.


+ Serve as program manager for the MP3 program (Medtronics preferred law firm program) with specific focus on the following:

+ Relationship management accountability with internal stakeholders and external (MP3) firms

+ Partnership with the MP3 Steering Committee with focus on driving initiatives, reporting and tracking of MP3 performance

+ Collaborate with the Global Legal practice leads on their Strategic Priority of improving litigation and legal practice area outcomes and financial management

+ Development and/or refinement of effective and sustainable matter management standard processes including matter initiation, budgeting, forecasting, accruals, billing, invoice review, case assessments, decision trees, lessons learned, communications, data capture, matter closure, and reporting to various stakeholders

+ Collaboration with practice leads, paralegals, legal assistants, legal operations, business partners such as finance and IT, and external partners such as law firms and other vendors

+ Ensure understanding of and compliance with standard processes

+ Effectively communicate with internal and external stakeholders regarding the processes and how to follow them

+ Ensure the intended audience finds templates and information easy to access and use

+ Monitor compliance with standard processes and develop remediation plans where necessary

+ Continually seek opportunities to increase stakeholder holder satisfaction and deepen relationships.

+ Measure the benefits of compliance with standard processes

+ Partner with all stakeholders to continuously improve matter management processes

+ Act as business owner of the matter management system, working with IT, the vendor, and stakeholders to ensure optimized use and management of the system and its data. Work with finance to ensure planned system costs are included in AOP

+ Identify opportunities to leverage technology solutions to gain efficiencies

+ Help ensure the Function is responsive to internal and external stakeholders in a timely and efficient manner. Collaborate with business and legal stakeholders to develop effective and standardized reporting formats, content, tools and processes that provide stakeholders with the information they need when they need it, with as little burden to the organization as possible

+ In partnership with the vendor management program, the practice leads, and others, define and implement a set of litigation and investigations metrics

+ Communicate and conduct briefings with senior or executive leadership

+ Support other Legal Operations initiatives including project management mentoring and training, and process analysis

+ Travel requirement:10-20%


**Must Have: Minimum Requirements**


+ Bachelors Degree with 5+ years of legal operations, program/project management and/or process improvement experience; or, anadvanced degree with 3+ years experience


**Nice to Have**


+ Bachelors Degree in Business, Finance or IT

+ Advanced degree

+ Proficient in and experience with Process Mapping, Project Management, and Lean or Six Sigma principles, concepts, practices and standards

+ Law Firm and Legal Financial Management and Operations experience

+ Experience working within a matrixed environment

+ Experience in managing by influence

+ Ability to build relationships and gain the trust of the practice leads, attorneys, and support staff

+ Experience accomplishing goals through others and providing work direction, coaching and/or guidance to project teams

+ Results oriented. Ability to identify and drive resolution of issues in a proactive, creative, and collaborative manner

+ Continually seek opportunities to increase stakeholder satisfaction and deepen relationships

+ Excellent oral and written communications skills, including Executive level updates

+ Confident and assertive style, but respectful of others

+ Understanding of Finance and Accounting concepts and experience analyzing financial data

+ Experience with Word, Excel, PowerPoint
