As an executive assistant, you will be supporting the Country Managing Director in his day-to-day schedule, meetings, travel arrangements. You will be the right-hand person of the Country Managing Director and will be required to attend meetings, sit on project committees, take notes and follow up with participants and stakeholders. You will also be required to generate and consolidate reports. You will be an experienced multi-tasker with strong facilitation and collaboration skills, have high attention to detail and possess excellent organizational and project management skills.

You will also have other responsibilities including front desk management, responsible in welcoming and assisting various stakeholders coming into the office of calling the office hotline. You will also be in-charge facilities management, doing rooms and parking management as well as general office maintenance.

**A Day in the life**

Responsibilities may include the following and other duties may be assigned

**Executive and personal assistant to the Country Managing Director**

+ Administrative support to the Country Managing Director including filing claims, booking flights and managing his travel schedule

+ Arranging and coordinating meetings

+ Preparation and consolidation of reports for the Country Director

+ Support on basic desk research and analysis

+ Organize committee meetings, take notes, following up with stakeholders and reporting to the country director

+ The EA will be also be expected to represent the country director to sit on project committees and may tasked to lead certain projects

+ The EA will also be the key person coordinating and organizing company events

+ Lead of the work improvement projects initiatives and lead facilitator of the office social committee

**Facilities management**

+ Responsible for the issuance and requests for access card and ID and updating of records.

+ Manages and controls general office inventories such as copier, stationery, pantry supplies from procurement to inventory monitoring and replenishment.

+ Liaise with Building Administrator and other vendors for office maintenance concerns. Facilitates that the parking lot assignment for the various departments.

+ Processes application and renewal of necessary business permits.

+ Ensures cleanliness and proper upkeep of the office for a more conducive working environment.

+ Facilitates PO request for vendors such janitorial service, courier services, feel card services etc.

+ Oversee the 2 office janitors

**Reception duties**

+ Welcomes and assists stakeholders and guests who come to the Medtronic office and adhere to security guidelines.

+ Handles and screens all telephone calls promptly and professionally; taking down and relaying the messages to the relevant personnel.

+ Handles all incoming and outgoing documents and other parcel and ensuring compliance in the appropriate confidentiality control guidelines.

**Must Have: Minimum Requirements**

+ Minimum of 4 years of relevant experience

**Additional Requirements**

+ Candidate must possess at least a Bachelor's/College Degree, any field

+ Minimum 3 years work experience in the same capacity

+ Proficient in Microsoft Office

+ Good Phone etiquette

+ Bachelor degree in medical/biomedical or economic is preferred

+ Ability to work after office hours or weekend is required at times.

+ Ability to work in an Operating Theatre environment is required.

+ Proficient in using MS Office and must be internet/technology savvy

+ Specifically, strong PowerPoint and Exel skills

+ Graphics design, photoshop etc. skills is a plus

+ Oral and written communication skills

+ Action-oriented and have the ability to multi-task

+ Good interpersonal skill

+ Strong collaborator and cross-functional team player

+ Project management

+ Excellent organization skills
